Sitar Arts Center Seeks Executive Coordinator

What You’ll Do 
As the Executive Coordinator, you are critical to the overall operations of Sitar Arts Center as the central management point of the Executive Director’s calendar, action items, communications with multiple constituents, and internal and external information flow. The position reports directly to the Executive Director and also provides HR related administrative support to the Senior Director of People and Operations and other members of Sitar’s senior leadership team as needed.

Core Responsibilities Include But Are Not Limited To:
Executive Director Assistance (45%)
The Executive Coordinator reports to the Executive Director and works closely with the ED to manage the details of day-to-day operations, calendar, research, special projects, and major events.

  • Schedule and maintain the Executive Director’s calendar, complete monthly timesheet, and update weekly task lists
  • Assist with the management of the Executive Director’s correspondences, including voicemail, invitations, emails, and letters
  • Assist in preparing for all Executive Director meetings and appointments with advance agenda prep, relevant briefings, reports, and other documents; attend and take notes when requested
  • Manage all follow up and action items from the Executive Director’s meetings and calls

Board Relations (30%)
Provide support for Board meetings and individual Board members; assist the development associate with Leadership Council meetings and communications as needed.

  • Prepare the Executive Director for Board meetings
  • Prepare the pre-meeting Board packet with all relevant information with enough lead time for Board members to receive and review in advance of the meeting
  • Schedule Board committee meetings, orientations, and individual meetings in conjunction with the Executive Director and Committee Chairs
  • Provide and maintain information on board terms and committees
  • Attend committee or other board related meetings when requested and support Executive Director’s follow-up actions.

 

People Ops (20%)
Work closely with the People Ops team and help to coordinate the following HR activities and initiatives.

  • Assist with the hiring, pre-boarding, and onboarding of employees
  • Assist with the research, coordination, and implementation of People Ops initiatives

 

Miscellaneous (5%)

  • Participate in required meetings
  • Provide support for key program and development events
  • Attend annual planning sessions, retreats, and training

What You’ll Earn  
Salary will be commensurate with experience with a range of $42,000 - $46,000.  

Where You’ll Work
This is an in-person position that currently has remote options available. Sitar actively follows CDC and other official COVID-19 recommendations to have staff work remotely when deemed the safest course of action for our community.

As the Executive Coordinator, you are a highly organized, thoughtful, positive, supportive, and welcoming administrator. You love coordinating events, keeping projects orderly, and pay great attention to details.  You excel at listening, taking notes, and seeing ways to help the flow of an activity run smoother. You ask questions when a task or system is not clear, and also develop solutions when tasks or systems are inefficient. You prioritize clear and consistent communication, in writing and in conversation.

You are interested in helping to foster the relationships with donors and staff alike and thrive on completing tasks with skill and efficiency. You believe in the power of the arts for positive youth development and as part of a complete education. You have deep concern for the well-being of children of all ages, thrive in a diverse environment, and believe that everyone should have access to the arts. 

Key Qualifications and Experience

  • Bachelor’s Degree or other equivalent experience
  • 1-2 years' experience in administration or other transferable experience 

 

Preferred Qualifications and Experience

  • Experience working in non-profit industry or the arts
  • Experience assisting executive level leadership
  • Bilingual – Spanish and English speaking and writing ability  

 

Requirements  

  • Background check, TB test, and COVID-19 vaccination
  • Ability to work in person, afternoons and evenings, and some Saturdays
